Middleware Coordinator Access (Program Leadership and Administrators)

How do I create and/or copy courses for my program?

Step 1. Go to middleware.boisestate.edu and sign in.

Step 2. In the top right of the screen you’ll see your name and a “kebab” icon. Click on the “kebab” icon, and then click on Switch Roles.

Step 3. A small window will pop up prompting you to “Choose a Role.” Select Course Coordinator and then click Switch. Now that your role has been switched, you should see any and all courses within your program prefix that you are able to create and/or copy for instructors.

Step 4. Follow the following processes outlined for how to create course shells once you’re in the Coordinator role.

Note: these steps are written with the audience as faculty. The steps will still be the same when it comes down to where to click to create courses, you’ll just repeat the steps for each course(s) created.

Who do I contact if I need to gain Coordinator access to Middleware?

Step 1. Contact Learning Technology Solution (LTS) at lts@boisestate.edu with the following information:

  • Name and username

  • The program(s) and prefix(es) you need coordinator access over

  • Your role within the program or department that necessitates access

For example, you could send an email that looks like this:

Hello LTS Team,

I need Middleware Coordinator access to the courses in the Cybersecurity Program. Here’s the information you need:

Nicole Carrobis (nicolecarrobis)

Possible prefixes: CORE, CORE-ONLINE, CPS, CPS-ONLINE, CYBER

I’m a new staff administrator with the department that will help faculty with their course setup, and have copied the program chair here for additional approval.

Step 2. LTS will respond and send you a link to the Request a Change in Access to Online Class Scheduling Tool for Department Schedulers form from the Registrar.

Step 3. Complete the Request a Change in Access to Online Class Scheduling Tool for Department Schedulers form from the Registrar.

Step 4. LTS staff will communicate back to you once Middleware Coordinator access has been approved and enabled.

  • Create course sites for all adjuncts

  • Manage program content by creating sites and copying specific content

Managing or editing course enrollments for instructors

  • Add an instructor or TA to a Canvas course by editing the course in Middleware

  • Note: this only changes who is in the Canvas course, if you need to make a change in PeopleSoft complete this Schedule Change Request form.

Note: these benefits are only accessible to you during the active semester. You’re unable to add a faculty to a past-semester course through Middleware.

What “risks” are associated with my Coordinator access to Middleware?

With increased access and permission comes “risks” to make mistakes. Here is some information for best practices to proactively avoid mishaps.

Incorrect merging (a section missing from a site or too many sections in a single site)

Ensure you know in advance of site creation and copying which sections should be merged by communicating with relevant instructors

Contact LTS through the Help Desk ticketing system

Incorrect content-copying (copying in the wrong course, session, or version of content)

Ensure you collect the right SIS ID from the exact course you want copied

If there’s any question about the content being copied, only create the site and copy/build content later

Deleting modules or content out one-by-one yourself
